Will my email address change?+
No. Your address stays @yourcompany.com. Only what's behind it changes — from HCL Notes to Microsoft 365.
What happens to my old emails?+
Your existing mail, folders, and history migrate with you into Outlook. It may take a little time to fully appear after cutover.
Is there a size limit when my mailbox moves?+
Yes. Review the Quick Start checklist and the Large Attachments module to clear out oversized attachments (roughly 149 MB and up) before your migration date.
What should I do with emails that have very large attachments?+
Save the attachment locally or to OneDrive, then delete it from the email (or the whole message) before your mailbox migrates.
Do I need to re-learn everything?+
No. Outlook, Teams, and OneDrive work a lot like Notes for everyday tasks — composing mail, scheduling meetings, and organizing folders all carry over conceptually.
Will my calendar entries transfer over?+
Yes. Your upcoming meetings, recurring events, and room bookings move into Outlook Calendar.
Will my contacts transfer?+
Yes. Your personal address book moves into Outlook Contacts, and the company directory becomes the Global Address List.
Can I still use Notes after the move?+
Once your mailbox has migrated, Outlook becomes your primary mail client. Check with the IT Service Desk about the timeline for your team.
What about our Notes applications and databases?+
Custom Notes applications are handled separately from mailbox migration. If your team relies on one, the IT Service Desk can tell you its status and replacement plan.
What about shared addresses like a department mailbox?+
Mail-in databases become shared mailboxes in Outlook. See the Shared Mailboxes module for how to find and use them.
Do I need to install anything on my computer?+
In most cases, no — Microsoft 365 apps are provisioned for you. If you need the desktop apps installed, contact the IT Service Desk.
What is MFA and why do I need it?+
Multi-Factor Authentication adds a second step (like an approval on your phone) when you sign in, protecting your account even if your password is ever compromised.
What if I get a suspicious email?+
Don't click links or open attachments. Use the Report Message option in Outlook, or forward it to the IT Service Desk.
Can I access my work email from my personal phone?+
Yes, using the Outlook mobile app signed in with your work account. See the Mobile Setup module for step-by-step instructions.
